Website Privacy Policy

Effective date: October 4, 2026

This Website Privacy Policy explains how Procreate Fertility Center of Virginia, PLLC, doing business as Gyn Wellness Center (“Gyn Wellness,” “we,” “us,” or “our”) collects, uses, and protects information when you visit gynwellness.com (the “Website”). It applies only to information collected through this Website.

Protected health information that you share with us as a patient is governed by our Notice of Privacy Practices, as required by the Health Insurance Portability and Accountability Act (HIPAA). If this policy and the Notice of Privacy Practices conflict regarding your health information, the Notice of Privacy Practices controls.

1. Information you provide to us

Contact form. When you submit our contact form, we collect your first and last name, phone number, email address, preferred office location, best time to call, and how you heard about us. We use this information only to contact you and help you schedule a visit. Please do not include medical information in the form; our team will discuss your needs with you by phone.

Online chat assistant. Our appointment page offers a chat assistant that answers general questions and helps with scheduling. Chat conversations are processed and stored on our own systems hosted by Amazon Web Services under a Business Associate Agreement. The assistant is not a doctor and does not provide diagnoses or medical advice.

Online scheduling. If you book an appointment online, you will be directed to our scheduling provider, NexHealth. Information you enter there is collected and protected by NexHealth on our behalf.

Phone and email. When you call or email us, we use the information you share to respond to you and to provide care.

2. Information collected automatically

When you visit the Website, our servers automatically receive standard technical information such as your IP address, browser type, device type, and the pages you request. We use this information to operate, secure, and troubleshoot the Website.

Campaign information. If you arrive at the Website from one of our advertisements or links, the web address may include campaign parameters (for example, the name of the campaign). The Website stores these parameters in your browser and may pass them to our scheduling page or chat assistant so we can understand which campaigns lead people to contact us. This information identifies the campaign, not you, and is not shared with advertising platforms.

3. Cookies and similar technologies

When you first visit the Website, a cookie banner asks for your choice. You can accept, deny, or choose by category. Your choice is stored in a small cookie so we do not ask again, and you can change it at any time using the “Manage consent” button on the Website. We also honor Global Privacy Control and Do Not Track signals sent by your browser.

  • Functional (always active): needed for the Website to work, such as remembering your consent choice. We also store campaign information in your browser as described above.
  • Statistics: we do not use analytics or statistics cookies anywhere on the Website.

We do not use advertising cookies, remarketing or retargeting tags, social media tracking pixels, or session recording tools on the Website.

The Website does not use a tag manager, analytics, advertising cookies, remarketing or retargeting tags, social media tracking pixels, or session recording tools on any page. All scripts and fonts are served from our own servers.

4. How we use information

5. How we share information

We share information only with service providers that help us operate the Website and our practice, such as our website hosting provider, our email provider, our scheduling provider, and our chat infrastructure provider. These providers may use the information only to perform services for us. Where a provider handles protected health information, we require a Business Associate Agreement.

We may also disclose information when required by law, to respond to legal process, or to protect the safety of our patients, staff, or the public.

6. Data security

We use administrative, technical, and physical safeguards designed to protect the information we collect. No method of transmission over the internet or electronic storage is completely secure, so we cannot guarantee absolute security.

7. Data retention

We keep contact form submissions only as long as needed to respond to your inquiry and for our legitimate business and legal purposes. Patient records are retained as required by law.
